Management of contact and quote requests
- Legal Basis: GDPR Article 6(1)(b) – preparation of a contract, and GDPR Article 6(1)(a) – consent of the data subject.
- Processed data: name, email address, phone number, message content.
-
Application of cookies
- Legal Basis: GDPR Article 6(1)(a) – consent (for non-essential cookies).
- Legal Basis: GDPR Article 6(1)(f) – legitimate interest (for essential cookies to ensure the website's functionality).
3. Scope of Processed Data
- Name
- Email address
- Phone number
- Message text
- Website usage data (cookies)
4. Management of Cookies
The website may use the following types of cookies:
4.1. Essential Cookies
These cookies are indispensable for the operation of the website (e.g., remembering language settings or "Dark/Light mode"). Without them, certain functions of the website would not be available.
- Legal Basis: Legitimate interest
- Data retention: Until the end of the session or until the setting is withdrawn.
4.2. Performance and Analysis Cookies (Analytics)
They collect information about how visitors use the website (which pages they view, which links they click, where they came from).
- Legal Basis: Consent (Art. 6(1)(a) GDPR)
- Data retention: 13 months (international GDPR practice)
4.3. Identification of Visiting Companies (B2B lead generation)
Using the visitor's IP address, with the help of a third-party provider (Leadfeeder / Dealfront), the website may identify the company from whose network the visit originates, together with the pages viewed. The sole purpose is business-to-business contact: recognising which companies may be interested in our services. The system does not identify natural persons; visitors on residential internet connections are not identified.
- Data processed: IP address, browsing data, and company data derived from these (company name, location, industry, size).
- Legal Basis: the Data Controller's legitimate interest in effective lead generation (Art. 6(1)(f) GDPR). Cookieless processing of the IP address also requires the visitor's prior analytics consent.
- Data retention: depending on the provider plan, up to 12 months, or for the duration of business communication with the identified company.
- Objection: the data subject may object to this processing at any time via the contacts in section 1, or by changing the cookie settings.
4.4. Managing Cookies
The data subject can modify or withdraw cookie settings at any time in their browser settings.
5. Data Retention Periods
Personal data provided on the contact form (at the time of the quote request) is retained until the quote request is answered, or in the case of a contract, for the limitation period prescribed by accounting and tax laws (typically 8 years). If the quote request does not lead to a contract, the data is deleted after the realization of the purpose (typically at the end of the quote's validity period), unless the data subject has explicitly consented to further contact.
6. Data Processors
The Data Controller may use the following data processors:
- Hosting provider
- Web developer and system administrator
- Leadfeeder GmbH / Dealfront Group (identification of visiting companies) – processing takes place within the EU.
Data processors act only based on the instructions of the data controller, while assuming appropriate confidentiality and data protection guarantees.
7. Rights of the Data Subjects
The data subject is entitled to:
- request information about the processing of their personal data;
- request access to the processed data;
- request the rectification of their data;
- request the deletion of their data ("right to be forgotten");
- request the restriction of data processing;
- object to data processing based on legitimate interest;
- withdraw their consent at any time (which does not affect the lawfulness of processing before the withdrawal);
- lodge a complaint with the supervisory authority.
